<p><em>Two phishing tricks slipping past multifactor authentication, and what your team should do about them.</em></p><p>Our team has handled a wave of these two phishing attempts in local inboxes over the past few weeks. Both are built to get past multi-factor authentication, not just a weak password. Here's how each one works and what to tell your staff today.</p><h2>1. The Fake Voicemail That Steals Your Microsoft Password</h2><p>The email looks routine. It says you missed a call and includes a button or attachment to "listen" to the voicemail. The file name often mimics an audio clip, something like a music note next to "New-Voicemail.mp3."</p><p>Click through, and you land on a page built to look exactly like the Microsoft 365 sign-in screen. It asks for your email, your password, and then your MFA approval, a push notification or a six-digit code.</p><p>This is where it gets dangerous. The attacker isn't just collecting your password for later. The fake page sits between you and the real Microsoft server in real time. Security researchers call this an adversary-in-the-middle, or AiTM, attack. When you approve the MFA prompt, the attacker captures the live session token behind it. Your MFA worked exactly as designed, and the attacker got in anyway.</p><p>This isn't a rare or isolated campaign. Microsoft's security team blocked more than 13 million malicious emails tied to one voicemail-themed phishing kit, known as Tycoon2FA, in a single month in late 2025. That surge has continued through 2026. In April 2026, Microsoft tracked a related AiTM campaign that hit more than 35,000 users. It spanned 13,000 organizations in 26 countries. Ninety-two percent of the targets were in the United States.</p><h2>2. The Email That Looks Like It Came from You</h2><p>This one shows up in your inbox with your own name and address in the From field. It often threatens to release embarrassing photos or claims to have hacked your webcam, then demands payment, usually in cryptocurrency.</p><p>Here's the good news: an email "from you" almost never means your account was hacked. Forging the From field, known as spoofing, is simple and doesn't require access to anything. Scammers sometimes include an old password from a past data breach as scare tactic "proof." It isn't proof of anything current.</p><p>A newer, more convincing version of this trick showed up in Microsoft security research published in January 2026. Attackers are exploiting complex mail routing paths and gaps in a company's spoof protections. Weak or missing SPF, DKIM, and DMARC records are the usual gap. That lets a message pass authentication check and appear genuinely internal. It can land in an inbox looking like it came from a colleague, or even the recipient, without tripping the usual external-sender warning banner.</p><p>That combination, a message that looks internal and passes technical authentication, is exactly what makes it effective against employees trained to distrust only outside senders.</p><h2>What to Do Now</h2><p>These aren't reasons to panic. They're reasons to tighten a few specific controls. Here's where to start.</p><ul><li>Tell staff never to click links or open attachments in voicemail, fax, or missed-call notification emails. Log into Microsoft 365 through a saved bookmark instead.</li><li>Move to phishing-resistant MFA, for anyone with access to financial systems or sensitive data. Advanced identity-focused cyberattacks like AiTM (Adversary-in-the-Middle) defeat SMS codes and one-tap push approvals.</li><li>Turn on Conditional Access policies that block sign-ins from unfamiliar countries or unmanaged devices.</li><li>Have your IT partner audit your SPF, DKIM, and DMARC records. Set the DMARC policy to quarantine or reject failures, not just monitor them.</li><li>Train employees to check the full sender address, not just the display name, even on messages that look internal.</li><li>Treat any email that appears to come from your own address as spam. Don't reply, don't pay, don't click. Report it and move on.</li><li>Turn on mailbox audit logging and sign-in alerts so unusual activity gets flagged fast, not discovered weeks later.</li><li>Put a same-day password reset and session revocation process in place for anyone who reports a suspicious sign-in prompt.</li></ul><p>Both of these tactics count on one thing: an employee treating a familiar-looking email as safe. If that describes your business, there's a compliance requirement now sitting between you and that next contract that didn't exist a few years ago, and it's worth understanding before it shows up in a solicitation you're trying to win.</p><h2>CMMC Is Now a Condition of Award, Not a Nice-to-Have</h2><p>As of November 10, 2025, CMMC requirements began appearing in new DoD solicitations. Starting November 10, 2026, Phase 2 raises the bar further: most contracts involving Controlled Unclassified Information (CUI) will require formal, third-party Level 2 certification from an accredited C3PAO rather than a self-assessment. If a prime is sharing technical drawings, specifications, or engineering data with you, which is common as manufacturers take on more complex, higher-value work, you're looking at Level 2: full alignment with the 110 security practices across 14 control families in NIST SP 800-171 Rev. 2.</p><p>It's worth noting that as your company grows and takes on more sensitive scopes of work, your CMMC obligations can grow with you. A company that only needed Level 1 for its first small contract may find Level 2 attached to the next, larger opportunity it's chasing.</p><h2>The Preparation Timeline Doesn't Match a Fast-Growth Mindset</h2><p>This is often the hardest part for scaling companies to internalize: Level 2 readiness realistically takes 6 to 12 months, even for organizations with reasonably mature IT practices already in place. That timeline doesn't compress just because your sales pipeline is moving faster. And with fewer than 100 authorized C3PAO assessors nationwide serving an estimated 80,000 organizations that will need certification, assessment scheduling itself is becoming a bottleneck. That includes regular security updates through the normal lifecycle.</p><p>That deadline matters. However, your business should not wait for the final date. Server replacement projects need planning, testing, budgeting, and scheduling. Also, hardware delays and pricing changes can slow the process. So, now is the time to act. This guide explains the steps your business should take now.</p><h2>Step 1: Find every end-of-life Windows Server system</h2><p>Start with a complete inventory. Your team needs to know where the end-of-life Windows Servers are still running. Check physical servers, virtual servers, backup systems, and remote locations. Also, include any servers that vendors manage. Some businesses forget about these systems until they create risk.</p><p>Your inventory should answer:</p><ul><li>Which servers run Windows Server 2016 or earlier</li><li>Where they live and who manages them</li><li>What each server does, and which business functions it supports</li><li>Which users rely on them, and which applications connect to them</li><li>Whether it runs accounting or ERP software</li><li>Whether it stores client or employee data</li><li>Whether it manages user logins or connects to other systems</li><li>Whether it supports compliance requirements</li></ul><p>This step gives your business a clear starting point. If it cannot, your business may need new equipment. Because hardware pricing and lead times can change, early planning matters.</p><h2>Step 4: Review application compatibility</h2><p>Then, review every application on the server. This step matters because applications often drive the project timeline. Some vendors require software upgrades before moving to a newer server. Meanwhile, others need time to confirm support, review compatibility, or schedule migration assistance.</p><p>Contact each software vendor early and confirm whether the application supports newer Windows Server versions. Also, ask whether the vendor requires an application upgrade, database changes, licensing updates, or direct migration support. Then, confirm how much downtime the application may require. This step prevents surprises and helps your business avoid rushed vendor calls later.</p><h2>Step 5: Confirm your backup and recovery plan</h2><p>Before any server project begins, confirm backups. Do not assume backups work. Test them before the project begins. Your business needs to know how quickly data can return after a failure. Also, your team needs to confirm that backups include applications, databases, and system settings.</p><p>Review backup frequency, backup success history, restore testing, recovery time needs, recovery point needs, off-site backup copies, disaster recovery options, and ransomware protection. This step protects your business during the project. It also reduces risk before the project starts.</p><h2>Step 6: Choose the right replacement path</h2><p>Now, compare your options. Not every server needs the same solution. Some servers need replacement hardware. Others should move to the cloud. Also, some servers may no longer need replacement.</p><h3>Option 1: Replace the server</h3><p>Choose this path when your business needs local performance or local applications. This option can improve speed, reliability, and supportability. It also gives your team a newer operating system. However, order timing matters. Equipment availability can affect the project schedule.</p><h3>Option 2: Move to the cloud</h3><p>Choose this path when the workload fits a cloud platform. For example, file sharing may move to Microsoft 365. Some applications may move to Azure. Also, backup and recovery may improve with cloud tools. This option can reduce hardware dependency. However, your team must review cost and performance first.</p><h3>Option 3: Use a hybrid model</h3><p>Choose this path when your business needs both cloud and local systems. A hybrid model can offer flexibility. It can also help your business modernize in stages.</p><h3>Option 4: Retire the server</h3><p>Choose this path when the server no longer supports a real business need. This option can reduce costs and complexity. Before replacing anything, ask whether the workload still belongs in your environment.</p><h2>Step 7: Build the budget now</h2><p>Next, create a realistic budget. Server projects can include more than hardware. They may also include software licensing, vendor fees, backup changes, security tools, and project labor.</p><p>Include these items:</p><ul><li>Hardware and operating system licensing</li><li>Application upgrades and vendor support</li><li>Backup adjustments and cloud costs</li><li>Migration labor and after-hours work</li><li>Testing time and contingency funds</li></ul><p>Also, request pricing early. Quotes may change. Equipment may take time to arrive. Therefore, early budgeting gives your business more control.</p><h2>Step 8: Create a migration timeline</h2><p>Then, build a timeline. Do not start with the final migration date. Instead, build the timeline around every step that must happen first. Start with discovery, vendor review, purchasing, testing, and backup validation.</p><p>Then, include server inventory, risk ranking, vendor conversations, budget approval, equipment ordering, licensing review, backup testing, test migration, user communication, final migration, post-migration support, and server decommissioning. This timeline helps everyone understand the full project. It also reduces pressure as the deadline gets closer.</p><h2>Step 9: Schedule downtime before it becomes urgent</h2><p>Most server projects need downtime. Therefore, schedule migration windows early. Choose times that limit business disruption. Also, notify users before changes happen. Prepare employees for possible login changes, application changes, or file access changes. Clear communication reduces confusion. It also helps the project move faster.</p><h2>Step 10: Decommission the old server</h2><p>After migration, do not leave the old server running. Old servers create risk when no one manages them. They may still hold sensitive data. They may also stay connected to the network.</p><p>Your team should:</p><ul><li>Confirm the new system works</li><li>Verify data access</li><li>Remove old connections</li><li>Archive required data</li><li>Wipe or dispose of hardware securely</li><li>Update documentation</li><li>Remove unused accounts</li><li>Update backup jobs</li></ul><p>This final step matters.
